For optimal integration with the Oxfordshire Record Office holdings, the five fonds names all start with the Department of Antiquities archive repository code (1648), followed by a shortened version of the archive name: e.g. 1648MANN for the Manning archive held at the Ashmolean.
This system will allow for both the easy identification of Ashmolean archives at the Oxfordshire Record Office, and the inclusion of further archives at a future date. e.g. 1648MANN/OX/MS/100/1
Sub-Fonds Level
The Sub-Fonds level is used to identify the broad geographical area to which the items relate. Only documents relating to historic Oxfordshire are included in this project. e.g. 1648MANN/OX/MS/100/1
OX Oxfordshire Records (pre-1970s boundaries)
BK Berkshire Records (pre-1970s boundaries)
GL Gloucestershire Records (pre-1970s boundaries)
Series Level
Based on the Oxfordshire Record Office Series codes (most of the archives in the project fall into the series category manuscripts and articles). e.g. 1648MANN/OX/MS/100/1
The file level reflects the internal structure of the individual archives. For example, the Manning archive file structure is arranged as he organised it, according to Oxfordshire parishes or villages (each parish/village file is given a number starting with 100 e.g. 1648MANN/MS/OX/100/1). Other archives have file structures representing individual excavations or research subjects as appropriate.
Item Level
Each individual item within a file is given an individual number. e.g. 1648MANN/OX/MS/100/1
